greymatter version 9.7 introduces a powerful Reference Management feature, empowering users with control over the number of references required for a Program Version. This ensures a streamlined Program Application process, preventing submissions without the required references and facilitating effective communication with referees to ensure timely submission. Additionally, students gain the flexibility to edit or add references even after application submission, while referees are restricted from altering reference details once they have been provided, maintaining the integrity of the reference information.
The main functional components included in the Reference Management feature are:
CRM Set Up for Admissions Officer
- Program Version: Number of References
- Reminder Configuration: Frequency of reminders and Recipients (Student and/or Referee)
- greymatter Configuration: Referee Authentication to determine whether a Referee should redeem Portal invitation to provide Reference
Portal: Program Application for an Applicant Student
- Validation to ensure minimum number of References provided for both single and multi-program application
- Facility to provide Reference for Program Versions that has Optional References
- Facility to Add/Edit/Delete References when Program Application is in 'Draft' status
- Facility to Add/Edit References when Program Application is in 'Other' status
- Facility to not allow Editing of Reference if Reference record is in 'Submitted' status
Portal: Reference for Referees
- Reference link will be included in email sent
- Referee cannot edit Reference data once submitted
Workflows, Cloud Flows, and Plug-ins Built for Partially Automating the Reference Management Feature
- Sending reminder emails based on CRM set up
- Creating and sending Portal invitation and if authentication is required by Referee
- Update 'Reference received?' to 'Yes' if all References are received for the Program Application
