The new Workflows to Update Review Status feature significantly simplifies the tasks of Admissions Officers involved in processing Program Applications. Through the implementation of workflows, plug-ins, and cloud flows, Frequency Foundry has semi-automated the process of changing the Review Status. This enhancement not only streamlines the workflow for Admissions Officers but also ensures the seamless processing of Program Applications, enhancing overall efficiency and accuracy in the admissions process.
The greymatter version 9.7 release includes Workflows, Plug-ins, and Cloud Flows for updating Review Statuses. Workflows are written to send emails to students whenever 'Review Status' is updated, either manually or automatically.
When a Program Application is Submitted by a Student
- Workflow to populated Checklist Items
- Workflow to create Referee (Contact) and assign Referee Web Role
- Workflow to send Portal invitation for Referee, if new contact and if Referee Authentication is needed
- Workflow to send Reference email to Referee
- Workflow to send Checklist email to Student
When Program Application Status is 'Pending Items'
- Workflow to update 'Checklist Received' to 'Yes' if all Checklist item status = 'Accepted' or 'Waived'
- Workflow to update 'Reference Received' to 'Yes' if all Reference record status = 'Reference Provided'
- Workflow to update 'Review Status' to 'In Review', if both Reference and Checklist Items are provided
Adjudication Review/Faculty of Graduate Studies/Graduate Program Director Review
- Workflow to send email to the Faculty of Graduate Studies and Graduate Program Director, if Program Application is assigned for Review
Pending Acceptance
- Workflow to update Review Status to 'Pending Deposit' (if Accepted by student) or 'Declined (Student)', if Declined by Student
Refund Request Approved
- Update Review Status from 'Refund Request Approved' to 'Cancelled/Refunded' upon execution of a Cloud Flow to refund deposit via Moneris payment gateway
